Treatment Terms & Conditions

PLEASE READ CAREFULLY

Business terms which 369 Laser Clinics (369 LC) provides a service to its clients , which can be subject to change. Please ensure that you have read and understood our terms & conditions prior to booking a treatment at 369 LC.

A. Discounts and Promotions

A1. 25% OFF Promotion Terms:
The 25% discount is calculated from the original full treatment price and cannot be applied to treatment packages, courses, or services that are already discounted. The offer cannot be combined with any other promotion, package rate, referral reward, or discount. One promotional offer per transaction.

1. GENERAL TERMS

1.1. By booking an appointment at 369 Laser Clinics, you agree to these Terms & Conditions.

1.2. All treatments are performed by qualified practitioners with over 15 years of laser experience.

1.3. 369 Laser Clinics reserves the right to amend these terms at any time.

1.4. No treatment will be carried out without a completed consultation and required patch test.

2. BOOKING & PAYMENT POLICY

2.1. Full payment is required at the time of booking for any treatment valued under £150.

2.2. For treatments £150 and above, a 50% deposit is required to secure the appointment, with the remaining balance due on the day of treatment.

2.3. All deposits and payments are non-refundable under all circumstances.

2.4. Deposits may be transferred only if rescheduling is requested at least 24 hours prior to the appointment.

2.5. Full payment for prepaid treatment courses must be made at the time of purchase.

2.6. Appointments are confirmed only once the required payment has been received.

2.7. Clients must arrive on time — lateness may result in reduced treatment time or loss of the appointment.

3. LATENESS POLICY

3.1. If arrival is delayed, it may not be possible to accommodate your full appointment.
3.2. A delay of more than 5–10 minutes may result in reduced treatment time or loss of theappointment.
3.3. If the clinic must cancel your appointment due to lateness, the session or deposit will beforfeited.
3.4. If the clinic needs to cancel at short notice, every effort will be made to contact you.

3.5. Some skin treatments require numbing cream, and clients may be asked to arrive15–20 minutes early.
3.6. If you arrive too late for the numbing cream to be applied safely, the treatment will becancelled and the session will be lost.
3.7. Repeated lateness may result in refusal of future bookings or requirement of full prepayment.

4. PATCH TEST POLICY

4.1. A patch test is required unless one has been carried out within the last 6 months with no medical changes.

4.2. Same-day patch test and treatment are permitted if the practitioner confirms skin suitability.

4.3. If contraindications are identified, treatment may be postponed for safety.

5. CANCELLATION, SICKNESS & NO-SHOW POLICY

5.1 Standard Cancellations

5.1. Appointments cancelled with less than 24 hours’ notice will result in loss of deposit or deduction of a prepaid session.

5.2. Same-day cancellations are treated as late cancellations.

5.2 Sickness Policy

5.3. Sickness cancellations are accepted up to two (2) times per treatment course without penalty if the clinic is notified before the appointment time.

5.4. After two sickness cancellations, the clinic may:

  • Deduct the missed session
  • Apply a late cancellation fee
  • Restrict future bookings to off-peak hours
  • Require full prepayment for all future sessions

5.5. Repeated sickness cancellations may require a doctor’s note before future bookings are allowed.

5.3 No-Show Policy

5.6. Non-attendance without notice (“no-show”) results in full loss of the session.

5.7. Multiple no-shows may result in booking restrictions or mandatory prepayment.

5.4 Long Appointment Protection

5.8. For appointments lasting 60–90 minutes, cancellations made within 2 hours of the appointment time will result in full session loss or full late-cancellation charge.

6. PREPAID TREATMENT PACKAGES & SINGLE TREATMENT POLICY

6.1. Prepaid packages provide discounted pricing as stated on the website.
6.2. No reduction in price can be given if treatment areas are removed or changed.

6.3. 48 hours’ notice is required to reschedule any prepaid appointment.
6.4. Cancelling within 48 hours or no-show results in the session being forfeited.

6.5. Prepaid packages cannot be changed after purchase.
6.6. Add-on areas are charged at the current website price.
6.7. Prepaid treatments are non-refundable and non-transferable.
6.8. You agree to these terms by purchasing prepaid treatments.

7. ONLINE PURCHASES

7.1. Treatments purchased online follow the same policies as in-clinic purchases.
7.2. Online purchases are non-transferable to other individuals, clinics, or treatment areas.

7.3. 48 hours’ notice is required to cancel an online appointment.
7.4. Cancelling within 48 hours or not attending will result in forfeiture of the treatment.

7.5. Refunds will be considered in line with UK Consumer Law.
7.6. Refund requests must be sent to info@369laserclinics.com.
7.7. The clinic will decide upon assessment whether a refund is applicable.

8. EXPIRY DATES FOR PRE-PAID TREATMENTS

Expiry begins from the purchase date, not the first session.

Laser Hair Removal Expiry

  • Single treatment — 6 weeks
  • Course of 4 — 5 months
  • Course of 6 — 8 months
  • Course of 8 — 10 months

Skin Treatment Expiry

  • Single Skin Treatment — 2 months
  • Course of 6 Skin Treatments — 6 months

Important:

Clients are responsible for booking their treatments within the expiry period.
Expired sessions are automatically lost and cannot be extended, refunded, or transferred.

9. TREATMENT PACKAGES

9.1 Package Appointments

Treatment packages are sold and priced to be completed during a single appointment. The treatment areas included within a package cannot be split across multiple appointments.

9.2 Client Requests

Requests to split package areas over separate appointments due to personal preference, time constraints or scheduling conflicts will not be accepted. If a client chooses not to have all treatment areas completed during their appointment, any untreated areas will be forfeited and cannot be carried forward, exchanged, credited or refunded.

9.3 Clinical Exceptions

Where a treatment area cannot be treated for a genuine clinical reason (for example, menstruation preventing treatment of the bikini area), 369 Laser Clinics may, at its sole discretion, defer only the affected treatment area.

The remaining treatment areas (bikini) must be completed during the original appointment. The deferred treatment area must be booked and completed within 14 days of the original appointment. Failure to do so will result in the treatment being forfeited.

9.4 Clinic Discretion

Any exception made by 369 Laser Clinics is made solely at the clinic’s discretion and does not create a precedent or entitlement for future appointments or other clients.

10. REFER A FRIEND PROGRAM

Summer Special — Promotional Period: 23.06.2026 to 23.08.2026

10.1 The Referee must book and pay in full for their first treatment, with a minimum spend of £250, to qualify for this offer.

10.2 The Referee will receive 25% off their first treatment, provided the treatment value is £250 or more before discount. This cannot be used in conjunction with any other offer, discount code, or promotion.

10.3 Once the Referee’s qualifying payment has been completed, the Referrer may choose ONE of the following rewards:

Option A — Free LED Fusion Facial (Express Facial), worth £150

  • Includes Hydrafusion treatment and LED therapy.
  • No minimum spend is required to redeem this reward.
  • Must be booked and used within 3 months of the reward being added to the Referrer’s account.

Option B — £50 Laser Voucher

  • Can only be redeemed against a treatment with a minimum spend of £250.
  • The £50 is deducted from the total bill at the time of redemption; it is not a standalone payment and cannot be used to cover a treatment costing less than £250.
  • Must be used within 3 months of being added to the Referrer’s account.

10.4 Only one reward option may be selected per qualifying referral. The choice is final once redeemed.

10.5 The Referrer is not required to make any purchase themselves to qualify for or unlock their reward — the reward is triggered solely by the Referee’s qualifying payment.

10.6 Rewards (the LED Fusion Facial or the Voucher) are not refundable, redeemable for cash, have no cash alternative, and cannot be transferred, sold, or gifted to another person.

10.7 If the Referee cancels their treatment, fails to attend without notice, or receives a refund, the Referrer’s reward will be void and removed from their account.

Standard Reward — resumes automatically from 24.08.2026

10.8 When the referee spends £350+ on their first treatment, the referrer receives £50 credit.

10.9 The referee also receives £50 credit after spending £350+.

10.10 Credits require a minimum £350 spend to redeem.

10.11 Credits are not redeemable for cash.

10.12 Excludes DMK Enzyme Therapy.

General Conditions (apply at all times, both periods)

10.13 Referrer and referee cannot be the same person or reuse referrals.

10.14 There is no limit to the number of friends a Referrer may refer.

10.15 The Referee must be a genuinely new client to 369 Laser Clinics, with no prior account, booking, or treatment history with the clinic.

10.16 The programme may be modified or suspended at any time. Any reward already issued in accordance with these terms prior to such a change will be honoured.

10.17 369 Laser Clinics reserves the right to request proof of referral before issuing any reward.

10.18 Standard treatment terms, cancellation policies, and consultation requirements apply to all bookings made under this programme.

 

11. GIFT CARDS & VOUCHERS

11.1. Gift cards and vouchers are valid for 2 months from purchase.
11.2. A 7-day cooling-off period applies to unused online purchases only. 11.3. Gift cards are non-refundable and non-transferable.
11.4. They may be used as part or full payment for treatments or packages.

11.5. They cannot be exchanged for cash or used to buy gift cards.

12. PAYMENT METHODS

  • Instalment plans available on request

13. CLIENT RESPONSIBILITIES

13.1. Follow all pre- and post-treatment instructions.
13.2. Avoid tanning, sunbeds, and fake tan before laser treatments.
13.3. Shave the treatment area 24 hours before your appointment unless advisedotherwise.
13.4. Arrive with clean, product-free skin.

14. CLINIC RESPONSIBILITIES

14.1. Provide safe, professional treatments using CE-marked equipment. 14.2. Maintain up-to-date client records.
14.3. Ensure all practitioners are qualified and insured.
14.4. Maintain client confidentiality in line with UK GDPR.

15. COMPLAINTS POLICY

15.1. Complaints must be submitted in writing within 48 hours.

15.2. All complaints will be investigated and reviewed.
15.3. Resolutions will be offered at the clinic’s discretion.

16. TREATMENT RESULTS & INDIVIDUAL RESPONSE

16.1. Results vary from person to person. Whilst laser hair removal is designed to achieve long-term hair reduction, 369 Laser Clinics cannot guarantee permanent hair removal, complete hair removal, or a specific percentage of hair reduction, as results depend on individual factors.

16.2. Treatment outcomes may be affected by, but are not limited to, hormonal changes or conditions (including PCOS, menopause, pregnancy and thyroid disorders), genetics, medications, medical conditions, skin type, hair colour, hair thickness, ethnicity, lifestyle factors, sun exposure, and adherence to the recommended treatment schedule and aftercare advice.

16.3. Some clients may experience paradoxical hypertrichosis (stimulated hair growth) following laser hair removal. This is a recognised but uncommon potential side effect of laser treatment and is influenced by individual biological and hormonal factors. As this response is outside the clinic’s control, 369 Laser Clinics cannot accept responsibility or guarantee prevention of stimulated hair growth where treatment has been carried out appropriately and in accordance with professional standards.

16.4. Clients are responsible for providing complete and accurate medical information and for informing the clinic of any changes to their health, medications or hormonal status before each treatment. Failure to do so may affect treatment outcomes and safety.

16.5. By proceeding with treatment, the client acknowledges that they have been informed of the expected benefits, limitations and potential risks of laser hair removal, including the possibility of variable results and stimulated hair growth, and accepts that no guarantee of a particular outcome has been made.

16.6. This clause applies where treatment has been carried out by a qualified practitioner in accordance with 369 Laser Clinics’ protocols and current industry standards. It does not affect any right you may have where unsatisfactory results arise from an act or omission by the clinic falling below that standard.

16.7. Nothing in this clause limits or excludes 369 Laser Clinics’ liability for death or personal injury caused by negligence, fraud, or any other liability which cannot be excluded or limited under UK law, and does not affect your statutory rights.

16.8 — Post-Course Results

Hair grows in cycles, so some regrowth or remaining hair after a course is normal and does not mean the treatment has failed. A visible reduction in hair over a course is considered a successful result, even if some hair remains.

16.9. If a client is unhappy with their results after finishing a course, we’ll offer a review with a practitioner to check progress is in line with what’s normal for their hair and skin type. Any outcome from this review is at the clinic’s discretion.

16.10. Extra sessions requested due to dissatisfaction after a completed course will be charged as new bookings, unless the review under 16.9 finds a genuine shortfall in results.

17. GENERAL LIABILITY

17.1. 369 Laser Clinics will not be liable for any indirect, special, or consequential loss or damage (including, without limitation, loss of earnings, loss of opportunity, or loss of enjoyment) arising out of or in connection with the provision of its services, save where such liability cannot be excluded or limited under UK law.

17.2. It is the client’s responsibility to provide 369 Laser Clinics with all relevant medical details prior to each treatment. 369 Laser Clinics will not be liable for any damage or adverse outcome that occurs as a result of a client’s failure to disclose such details.

17.3. The client agrees to comply with all instructions and recommendations given by, or on behalf of, 369 Laser Clinics regarding the care of a treated area, both before and after treatment.

18. Special Terms — Session Length & Overtime

18.1 Full-body sessions are scheduled for up to 90 minutes, based on the average time needed to treat all areas thoroughly. Every client’s body is different, and treatment time is affected by factors such as surface area, hair density, and skin type — none of which reflect anything other than natural human variation. Where more time is genuinely needed to complete a full, effective treatment, the session may continue beyond 90 minutes at a rate of £37 per additional 10 minutes (or part thereof), charged at the end of the session. This charge is applied consistently and solely on the basis of time required to complete treatment, regardless of any other characteristic.
